Cards (also called "jobs") are the individual client records moving through your pipeline. Each card represents one client entity in one workflow run. Here's everything you need to know about working with them.
Adding a Card to a Pipeline
There are two ways to add a client to a pipeline:
Option A: From the Kanban Board
- Open the pipeline you want to add to.
- Find the column (stage) where you want the client to start.
- Click + Add Job at the bottom of that column.
- Search for the client by name β results filter to the pipeline's entity type (People, Companies, or Relationships).
- Select the client. A card is created immediately.
Option B: From the Client's CRM Record
- Open the Person or Company in the CRM.
- Click the Workflow tab.
- Click + Create Card.
- Choose the pipeline and the starting stage.
- The card appears on the kanban board and on the Workflow tab.
What a Card Shows
Each card on the board displays:
- Client name and entity type icon
- Priority badge (if set to High or Urgent)
- NB notes (the first line of the notes field, shown on the card face)
- Due date (if set)
- π indicator if the card is in the terminal stage
Moving a Card
- Drag and drop β Click and hold a card, drag it to another column, release to drop.
- β β arrows β Buttons on the card face move it one stage backward or forward without dragging. Useful on smaller screens.
Card Detail Panel
Click the card body (not the arrow buttons) to open the detail panel on the right side of the screen. The panel shows:
- Current Stage and status
- Priority β Normal / High / Urgent (sets the badge on the card face)
- Assignee β Which staff member owns this card. Assigned cards appear in that person's "My Inbox" filter.
- Due Date β Date picker. Due dates approaching or overdue are highlighted.
- NB Notes β Freeform note field. The first line shows on the card face in the board view.
- Movement History β A complete log of every stage change: who moved it, from where, to where, and when. Full audit trail.
Terminal Stage & Archiving
Cards in the terminal stage show a "π Archiving tonight at 10 PM" indicator. Every night at 10 PM, DarkLion automatically archives all cards in terminal stages:
- The card is removed from the kanban board.
- The completion is logged in the client's pipeline history (visible on the Person/Company/Relationship Overview tab).
Pipeline History
Completed pipeline runs don't disappear β they're recorded in the client's history. Open any Person, Company, or Relationship record β Overview tab β Pipeline History section to see a full log of every completed workflow run, with dates and final stages.
job_status = 'active'. Archived cards are removed from view but preserved in history. This keeps the board clean β only active work is visible.
