For business clients who manage their own books (Client Prepared bookkeeping service), DarkLion gives them a way to send their financial statements directly to you from the portal — either by connecting QuickBooks Online or uploading PDF/Excel files.

Where It Appears

This feature is only visible for companies where the bookkeeping service is set to Client Prepared. The client navigates to their company's tab in the portal → clicks the Bookkeeping subtab.

What the Client Sees

Depending on whether QuickBooks is connected:

  • If QBO is not connected: They see a "Connect QuickBooks" link alongside an "or upload PDFs" option.
  • If QBO is connected: They see a "Send Financials to Advisor" button with a QBO connected indicator.

The Send Financials Flow

  1. Client clicks "Send Financials to Advisor".
  2. A modal opens with:
    • Tax Year picker — defaults to the current active year.
    • P&L dropzone — drag a PDF or Excel file, or click to browse.
    • Balance Sheet dropzone — drag a PDF or Excel file, or click to browse.
    • QBO option — if connected, shown as an alternative to file upload.
  3. The "Send to Advisor" button activates when: QuickBooks is connected, OR both P&L and Balance Sheet files are staged.
  4. Client clicks Send.

After Submission

Immediately after the client submits:

  • The modal closes.
  • The portal automatically switches to the Docs subtab.
  • A green success banner appears: "✓ Your 2025 financials were sent to your advisor successfully." (fades after 8 seconds).
  • The uploaded files appear in the Docs tab immediately under "Uploaded by You."

What You See in the CRM

On the Company's Docs tab in the CRM, the submitted files appear under "Uploaded by Client" section.

The submission fires the client_financials_submitted pipeline trigger — if you have a pipeline configured with that trigger, the client's card will automatically move to the target stage.

The client_financials_submitted trigger fires regardless of whether the client used QBO or file upload. Both paths go through the same trigger so your pipeline automation is consistent.
