Documents in DarkLion are organized in a consistent folder structure that's the same whether you're looking at a Person, a Company, or the client's portal view. Here's how it works.
Top-Level Sections
Every owner (Person or Company) has two top-level sections:
- "Delivered by Your Advisor" (
firm_uploaded) β Documents that your firm has uploaded and delivered to this client. This is the "advisor to client" direction. - "Uploaded by You" (
client_uploaded) β Documents the client has uploaded themselves through the portal. This is the "client to advisor" direction.
Within Each Section: Years
Inside each section, documents are grouped by tax year:
- The current year and prior year are expanded by default so you can see them without clicking.
- "Previous Years" is a collapsed group containing all older years. Click to expand and see documents from 2022, 2021, etc.
Within Each Year: Categories
Within each year, documents are grouped by category:
- Person documents: Tax Β· Other
- Company documents: Tax Β· Bookkeeping Β· Other
Documents with unrecognized categories automatically fall into "Other" β nothing gets lost if a document is miscategorized.
Staff View vs. Client View
The folder structure is identical for staff (in the CRM) and clients (in the portal), with one difference:
- Staff view β Shows all three sections: "Delivered by Your Advisor," "Uploaded by Client," and any internal/private documents. Staff can see everything.
- Client view β Shows only what has been delivered to them. Private/internal documents are completely invisible. Clients also see their own uploads under "Uploaded by You."

The "Previous Years" collapse keeps the folder tree clean for active clients while preserving full history. Clients rarely need to dig into documents from 3+ years ago β but when they do, it's always there.
